Travel Terms & Conditions

These Travel Terms (“Travel Terms”) apply to travel planning, trip proposals, travel-related services, and travel bookings offered, coordinated, promoted, arranged, or facilitated by Sun Sand Slope Vacations LLC (“Sun Sand Slope,” “SSS,” “we,” “us,” or “our”), whether through this website, by email, by phone, by text, through forms, through trip pages, or through other communications.

These Travel Terms are intended to provide general terms applicable to travel services arranged or discussed through Sun Sand Slope. Additional trip-specific terms, supplier terms, host-agency-related terms, booking terms, payment terms, waiver forms, and cancellation policies may also apply depending on the trip.

By requesting travel services from us, submitting a trip inquiry, asking us to prepare a quote, participating in a trip promoted by us, or proceeding with a booking through us, you acknowledge and agree that these Travel Terms may apply, together with any additional documents or disclosures provided for your specific trip or booking.

1. Scope of Services

Sun Sand Slope may provide services including, but not limited to:

• custom vacation planning
• group trip planning
• scheduled trip promotion and coordination
• itinerary development
• travel research
• supplier coordination
• quote preparation
• reservation support
• travel booking assistance
• traveler communication and trip administration

Our services may vary depending on the type of trip, the suppliers involved, and the booking structure used.

2. Types of Trips and Services

Sun Sand Slope may work with clients in several ways, including:

A. Custom or Personalized Trips

Trips designed around an individual traveler, couple, family, or private group’s goals, preferences, budget, and timing.

B. Group Trips

Trips involving multiple travelers traveling under a common group concept, event, theme, coordinator, or promotional structure, including club trips, affinity groups, hosted trips, and similar arrangements.

C. Scheduled Trips

Pre-arranged or pre-promoted trip opportunities with set dates, destinations, or general trip concepts that travelers may choose to join, subject to availability and applicable terms.

The terms applicable to a particular trip may depend on the specific structure of that trip.

3. No Reservation Until Confirmed

A quote request, inquiry, planning discussion, itinerary draft, proposal, trip advertisement, or expression of interest does not create a reservation or hold space unless and until:

• availability is confirmed,
• pricing is confirmed,
• applicable terms are accepted,
• required deposits or payments are made, if applicable, and
• written confirmation is issued.

Travel pricing and availability can change at any time until a booking is actually completed and confirmed.

4. Booking Structure May Vary

Depending on the trip, Sun Sand Slope may facilitate travel under different booking structures.

For example, a trip may be:

• booked directly with suppliers,
• booked through third-party travel partners or platforms,
• booked through host-agency affiliated systems, including systems associated with Outside Agents and/or Cruises & Tours Unlimited, or
• coordinated and packaged directly by Sun Sand Slope in its own capacity.

The booking structure for a specific trip may affect:

• who collects payment,
• what terms apply,
• which cancellation rules apply,
• which entity appears on travel documents,
• whether service fees or margins apply, and
• which supplier or platform terms govern the final booking.

Where applicable, the relevant booking structure and commercial terms will be disclosed before you are asked to finalize a booking or make payment.

5. Quotes, Pricing, and Availability

All pricing, quotations, trip descriptions, and itinerary details are subject to change until confirmed.

This includes, but is not limited to:

• hotel and resort pricing
• airfare
• cruise pricing
• ground transportation costs
• package inclusions
• taxes and fees
• supplier surcharges
• currency-related adjustments
• inventory availability
• blackouts or capacity limits

A displayed or quoted price is not guaranteed until the booking is completed and confirmed in writing.

6. Deposits and Final Payments

Deposit amounts, payment schedules, due dates, final payment deadlines, and accepted payment methods may vary depending on:

• the supplier,
• the trip type,
• the booking structure,
• whether the trip is booked directly through a supplier or platform,
• whether the trip is facilitated through host-agency affiliated systems, or
• whether the trip is arranged directly by Sun Sand Slope.

Applicable payment terms will be disclosed for the specific trip before you commit to the booking.

Failure to make payment by the required deadline may result in cancellation, loss of space, fare increases, or penalties.

7. Service Fees, Planning Fees, and Compensation

Sun Sand Slope may be compensated in one or more ways depending on the trip, including:

• supplier commissions,
• overrides,
• host-agency compensation arrangements,
• net-rate margins,
• trip coordination fees,
• planning or research fees,
• change fees, or
• other disclosed service fees.

If a service fee or planning fee applies, it will be disclosed to you before it is charged.

Unless otherwise stated in writing, service or planning fees paid directly to Sun Sand Slope may be non-refundable once work has begun or the related service has been performed.

8. Supplier Terms Apply

Travel services are often provided by independent third-party suppliers, including but not limited to:

• airlines
• hotels
• resorts
• cruise lines
• ski operators
• dive operators
• transportation providers
• tour operators
• excursion operators
• activity providers
• insurance providers

Each supplier may have its own terms, conditions, contracts of carriage, cancellation rules, refund rules, change penalties, baggage limitations, check-in requirements, liability limitations, health and safety requirements, and operational policies.

By proceeding with a booking, you agree to review and comply with applicable supplier terms and acknowledge that such terms may control the services provided by that supplier.

9. Responsibility for Travel Documents and Entry Requirements

You are solely responsible for obtaining and carrying all required travel documents and meeting all travel requirements applicable to your trip, including:

• passports
• visas
• identification
• vaccination records
• health certificates
• parental consents
• re-entry documents
• destination entry requirements
• transit requirements

You are also responsible for verifying:

• passport validity requirements,
• visa timing requirements,
• destination rules,
• transit-country rules, and
• return-entry requirements.

Sun Sand Slope is not responsible for losses arising from incomplete, missing, expired, inaccurate, or noncompliant travel documents.

10. Health, Fitness, and Activity Suitability

You are responsible for determining whether you and anyone in your party are physically, medically, emotionally, and otherwise suited for the travel, destination, accommodations, altitude, climate, transportation, and activities involved.

Some trips may involve physical activity, including but not limited to:

• skiing or snowboarding
• scuba or snorkeling
• hiking
• water sports
• walking-intensive itineraries
• boat or ocean activities
• other recreational or adventure-related activities

Sun Sand Slope does not provide medical advice and is not responsible for determining whether a traveler is fit for any trip or activity.

11. Travel Insurance Strongly Recommended

Sun Sand Slope strongly recommends that travelers purchase appropriate travel insurance and review the scope of coverage carefully.

Travel insurance may help protect against certain losses relating to:

• trip cancellation
• trip interruption
• medical emergencies
• evacuation
• baggage loss
• travel delay
• supplier default, where covered

It is your responsibility to determine whether to purchase travel insurance and whether the policy selected is appropriate for your needs.

12. Changes, Cancellations, and Refunds

Requests to change or cancel travel may result in:

• supplier penalties
• non-refundable deposits
• fare changes
• loss of promotional pricing
• administrative fees
• additional planning or change fees
• reduced or no refund eligibility

Refund rights, if any, depend on the specific supplier terms, trip structure, and timing of cancellation.

Unless expressly stated otherwise in writing:

• quotes are not refundable,
• planning time is not refundable,
• service fees paid directly to Sun Sand Slope may be non-refundable once earned,
• supplier penalties are governed by supplier rules, and
• Sun Sand Slope does not guarantee that any cancellation will result in a refund.

13. Group Travel and Coordinator Issues

For group travel, Sun Sand Slope may communicate with or receive direction from a group leader, organizer, trip captain, or coordinator. However, unless expressly agreed otherwise in writing, each traveler remains individually responsible for:

• reviewing applicable terms,
• providing accurate information,
• making required payments,
• complying with deadlines,
• understanding cancellation terms, and
• fulfilling travel requirements.

A group coordinator is not automatically authorized to waive rights, bind all travelers, modify legal obligations, or accept terms for all participants unless specific written authority and process are established.

Additional group-specific terms may apply.

14. Scheduled Trip Participation

Scheduled trips promoted by Sun Sand Slope may be subject to:

• minimum participation requirements,
• group space availability,
• supplier approval,
• trip leader availability,
• schedule changes,
• substitute accommodations or arrangements,
• cancellation if minimum participation is not reached,
• changes in pricing, inclusion structure, or logistics prior to confirmation

Participation in a scheduled trip is not guaranteed until your space is confirmed and all applicable booking steps are completed.

15. Independent Contractors and Third Parties

Unless expressly stated otherwise in writing, all airlines, cruise lines, hotels, resorts, transportation companies, tour operators, insurers, guides, activity providers, and similar suppliers are independent third parties and are not owned, managed, or controlled by Sun Sand Slope.

Sun Sand Slope is not responsible for the acts, omissions, insolvency, bankruptcy, failure to perform, negligence, scheduling changes, cancellations, overbookings, labor disruptions, accidents, illness, injury, property loss, quarantine rules, government actions, weather events, or operational decisions of independent suppliers or third parties.

16. Force Majeure and Events Beyond Control

Sun Sand Slope shall not be liable for delays, changes, interruptions, cancellations, losses, injuries, or failures in performance resulting from events beyond its reasonable control, including but not limited to:

• weather
• natural disasters
• fire
• flood
• epidemic or pandemic conditions
• public health events
• government orders
• border restrictions
• airline disruptions
• labor disputes
• war
• terrorism
• civil unrest
• transportation disruptions
• supplier shutdowns
• acts of God
• other extraordinary events

In such circumstances, refunds, credits, rebooking rights, and remedies will depend on the policies of the relevant suppliers and any applicable insurance coverage.

17. Communications

By submitting a travel inquiry, requesting a quote, providing your contact information, or otherwise asking us to assist with travel, you consent to receive communications from us related to your inquiry, travel planning, booking, administrative matters, trip updates, or customer service by email, phone, or text message using the contact information you provide.

Message and data rates may apply.

You may opt out of marketing messages, but service-related communications may still be necessary if you are actively traveling or working with us on a trip.

18. Limitation of Liability

To the maximum extent permitted by law, Sun Sand Slope’s liability for its own direct planning or advisory services, if any, shall be limited to the amount of fees actually paid directly to Sun Sand Slope for the specific trip or service giving rise to the claim.

To the maximum extent permitted by law, Sun Sand Slope shall not be liable for:

• indirect damages,
• consequential damages,
• incidental damages,
• special damages,
• punitive damages,
• loss of enjoyment,
• loss of vacation value,
• lost profits,
• emotional distress,
• or losses caused by independent third-party suppliers or events beyond Sun Sand Slope’s reasonable control.

Nothing in these Travel Terms excludes liability where exclusion is prohibited by applicable law.

19. Additional Terms May Apply

Depending on the trip, you may also be required to accept or sign:

• supplier terms and conditions
• insurance terms
• payment platform terms
• host-agency affiliated booking terms
• waivers or releases
• rooming or roommate policies
• activity-specific acknowledgments
• charter or group-specific terms
• destination-specific disclosures
• trip-specific cancellation or refund terms

If there is a conflict between these Travel Terms and a more specific written trip, booking, supplier, or payment agreement, the more specific agreement will control for that subject matter.

20. Governing Law

These Travel Terms shall be governed by the laws of the State of New Jersey, without regard to conflict of law principles, unless a more specific written agreement applicable to a particular booking states otherwise.

21. Severability

If any provision of these Travel Terms is found invalid or unenforceable, the remaining provisions shall remain in full force and effect to the maximum extent permitted by law.
